Data Mining for Dollars

The more you know, the more you're aware you could be saving. And the deeper you dig, the richer the reward.

That's today's data mining capsulation of your realization: awareness of cost-saving options amid logistical obligations.

According to global trade group Association for Information and Image Management (AIIM), fewer than 25% of organizations in North America and Europe are currently utilizing captured data as part of their business process. With high ease and low cost associated with utilization of their information, this unawareness is shocking. And costly.

Shippers - you're in prime position to benefit the most by data mining and assessing your electronically-captured billing records, by utilizing a freight bill processing provider, to realize and receive significant savings.

Whatever your volume, the more you know about your transportation options, throughout all modes, the easier it is to ship smarter and save. A freight bill processor is able to offer insight capable of saving you 5% - 15% annually on your transportation expenditures.

The University of California - Los Angeles states that data mining is the process of analyzing data from different perspectives and summarizing it into useful information - knowledge that can be used to increase revenue, cuts costs, or both. Data mining software is an analytical tool that allows investigation of data from many different dimensions, categorize it, and summarize the relationships identified. Technically, data mining is the process of finding correlations among dozens of fields in large relational databases. Practically, it leads you to noticeable shipping savings.

Data mining and subsequent reporting of shipping activity will yield discovery of timely, actionable information that empowers you to make the best logistics decisions based on carrier options, along with associated routes, rates and fees. This function also provides a deeper understanding of trends, opportunities, weaknesses and threats. Exploration of pertinent data, in any combination over any time period, enables you the operational and financial view of your functional flow, ultimately providing you significant cost savings.

With data mining, you can create a report based on a radius from a ship point, or identify opportunities for service or modal shifts, providing insight regarding carrier usage by lane, volume, average cost per pound, shipment size and service type. Performance can be measured based on overall shipping expenditures, variances from trends in costs, volumes and accessorial charges.

The easiest way to get into data mining of your transportation information is to form an alliance with a freight bill processor that provides this independent analytical tool, and utilize their unbiased technologies and related abilities to make shipping decisions that'll enable you to ship smarter and save.

What You Need to Know About Popular Software - Data Mining Software

Simply put, data mining is the process of extracting hidden patterns from the organization's database. Over the years it has become a more and more important tool for adding value to the company's databases. Applications include business, medicine, science and engineering, and combating terrorism. This technique actually involves two very different processes, knowledge discovery and prediction. Knowledge discovery provides users with explicit information that in a sense is sitting in the database but has not been exposed. Prediction is an attempt to read into the future.

Data mining relies on the use of real-world data. To understand how this technology works we need first to review some basic concepts. Data are any facts whether numeric or textual that can be processed by a computer. The categories include operational, non-operational, and metadata. Operational or transactional elements include accounting, cost, inventory, and sales facts and figures. Non-operational elements include forecasts and information describing competitors and the industry as a whole. Metadata describes the data itself; it is required to set up and run the databases.

Data mining commonly performs four interrelated tasks: association rule learning, classification, clustering, and regression. Let's examine each in turn. Association rule learning, also known as market basket analysis, searches for relationships between variables. A classic example is a supermarket determining which products customers buy together. Customers who buy onions and potatoes often buy beef. Classification arranges data into predefined groups. This technology can do so in a sophisticated manner. In a related technique known as clustering the groups are not predefined. Regression involves data modeling.

It has been alleged that data mining has been used both in the United States and elsewhere to combat terrorism. As always in such cases, those who know don't say, and those who say don't know. One may surmise that these anti-terrorist applications look for unusual patterns. Many credit card holders have been contacted when their spending patterns changed substantially.

Data mining has become an important feature in many customer relationship management applications. For example, this technology enables companies to focus their marketing efforts on likely customers rather than trying to sell to everyone out there. Human resources applications help companies recruit and manage employees. We have already mentioned market basket analysis. Strategic enterprise management applications help a company transform corporate targets and goals into operational decisions such as hiring and factory scheduling.

Given its great power, many people are concerned with the human rights and privacy issues around data mining. Sophisticated applications could work its way around privacy safeguards. As the technology becomes more widespread and less expensive, these issues may become more urgent. As data is summarized the wrong conclusions can be drawn. This problem not only affects human rights but also the company's bottom line.

Cutting Down the Cost of Data Mining

For most industries that maintain databases, from patient history in the healthcare industry to account information for the financial and banking sectors, data entry costs are a significant expense for maintaining good records. After data enters a system, performing operations and data mining extractions on the information is a long process that becomes more time consuming as a database grows.

Data automation is essential for reducing operational expenses on any type of stored data. Having data entrants performing every necessary task becomes cost prohibitive quickly. Utilizing software solutions to automate database operations is the ultimate answer to leveraging information without the associated high cost.

Data Mining Simplified

Data management software will greatly enhance the productivity of any data entrant or end user. In fact, effective programs offer macro recording that can turn any user into a data entry expert. For example, a user can perform an operation on a single piece of data and "record" all the actions, keystrokes, and mouse clicks into a program. Then, the computer software can repeat that task on every database entry automatically and at incredible speeds.

Data mining often requires a decision making process; a recorded macro is only going to perform tasks and not think about what it is doing. Software suites are able to analyze data, decide what action needs to be performed based on user specified criteria, and then iterate that process on an entire database. This function nearly eliminates the need for a human to have to manually look at data to determine its content and the necessary operation.

Case Study: Bank Data Migration

To understand how effective data mining and automation can be, let us take a look at an actual example.

Bank data migration and manipulation is a large undertaking and an integral part of any bank's operations. Account data is constantly being updated and utilized in the decision making process. Even a mid-sized bank can have upwards of a quarter million accounts to maintain. In order to update every account to utilize new waive fee codes, data automation can save approximately 19,000 hours that it would have taken to open every account, decide what codes applies, and update that account's status.

Recurring operations on a database, even if small in scale, that can be automated will reap cost saving benefits over the lifetime of a business. The credit department within a bank would process payment plans for new home, car, and personal loans monthly, saving thousands of operations performed every month. Retirement and 401k accounts that shift investments every year based on expected retirement dates also benefit from automatic account updates, ensuring timely and accurate account changes.

Cost savings for data mining or bank data migration are an excellent profit driver. Cutting down on expenses on a per-client or per-account basis increases margins directly without having to secure more customers, reduce prices, or remove services. Efficient data operations will save time and money, allowing personnel to better direct their energy and efforts towards key business tasks.

Basics of Web Data Mining and Challenges in Web Data Mining Process

Today World Wide Web is flooded with billions of static and dynamic web pages created with programming languages such as HTML, PHP and ASP. Web is great source of information offering a lush playground for data mining. Since the data stored on web is in various formats and are dynamic in nature, it's a significant challenge to search, process and present the unstructured information available on the web.

Complexity of a Web page far exceeds the complexity of any conventional text document. Web pages on the internet lack uniformity and standardization while traditional books and text documents are much simpler in their consistency. Further, search engines with their limited capacity can not index all the web pages which makes data mining extremely inefficient.

Moreover, Internet is a highly dynamic knowledge resource and grows at a rapid pace. Sports, News, Finance and Corporate sites update their websites on hourly or daily basis. Today Web reaches to millions of users having different profiles, interests and usage purposes. Every one of these requires good information but don't know how to retrieve relevant data efficiently and with least efforts.

It is important to note that only a small section of the web possesses really useful information. There are three usual methods that a user adopts when accessing information stored on the internet:

• Random surfing i.e. following large numbers of hyperlinks available on the web page.
• Query based search on Search Engines - use Google or Yahoo to find relevant documents (entering specific keywords queries of interest in search box)
• Deep query searches i.e. fetching searchable database from eBay.com's product search engines or Business.com's service directory, etc.

To use the web as an effective resource and knowledge discovery researchers have developed efficient data mining techniques to extract relevant data easily, smoothly and cost-effectively.

Data Mining and Financial Data Analysis

Most marketers understand the value of collecting financial data, but also realize the challenges of leveraging this knowledge to create intelligent, proactive pathways back to the customer. Data mining - technologies and techniques for recognizing and tracking patterns within data - helps businesses sift through layers of seemingly unrelated data for meaningful relationships, where they can anticipate, rather than simply react to, customer needs as well as financial need. In this accessible introduction, we provides a business and technological overview of data mining and outlines how, along with sound business processes and complementary technologies, data mining can reinforce and redefine for financial analysis.

Objective:

1. The main objective of mining techniques is to discuss how customized data mining tools should be developed for financial data analysis.

2. Usage pattern, in terms of the purpose can be categories as per the need for financial analysis.

3. Develop a tool for financial analysis through data mining techniques.

Data mining:

Data mining is the procedure for extracting or mining knowledge for the large quantity of data or we can say data mining is "knowledge mining for data" or also we can say Knowledge Discovery in Database (KDD). Means data mining is : data collection , database creation, data management, data analysis and understanding.

There are some steps in the process of knowledge discovery in database, such as

1. Data cleaning. (To remove nose and inconsistent data)

2. Data integration. (Where multiple data source may be combined.)

3. Data selection. (Where data relevant to the analysis task are retrieved from the database.)

4. Data transformation. (Where data are transformed or consolidated into forms appropriate for mining by performing summary or aggregation operations, for instance)

5. Data mining. (An essential process where intelligent methods are applied in order to extract data patterns.)

6. Pattern evaluation. (To identify the truly interesting patterns representing knowledge based on some interesting measures.)

7. Knowledge presentation.(Where visualization and knowledge representation techniques are used to present the mined knowledge to the user.)

Data Warehouse:

A data warehouse is a repository of information collected from multiple sources, stored under a unified schema and which usually resides at a single site.

Text:

Most of the banks and financial institutions offer a wide verity of banking services such as checking, savings, business and individual customer transactions, credit and investment services like mutual funds etc. Some also offer insurance services and stock investment services.

There are different types of analysis available, but in this case we want to give one analysis known as "Evolution Analysis".

Data evolution analysis is used for the object whose behavior changes over time. Although this may include characterization, discrimination, association, classification, or clustering of time related data, means we can say this evolution analysis is done through the time series data analysis, sequence or periodicity pattern matching and similarity based data analysis.

Data collect from banking and financial sectors are often relatively complete, reliable and high quality, which gives the facility for analysis and data mining. Here we discuss few cases such as,

Eg, 1. Suppose we have stock market data of the last few years available. And we would like to invest in shares of best companies. A data mining study of stock exchange data may identify stock evolution regularities for overall stocks and for the stocks of particular companies. Such regularities may help predict future trends in stock market prices, contributing our decision making regarding stock investments.

Eg, 2. One may like to view the debt and revenue change by month, by region and by other factors along with minimum, maximum, total, average, and other statistical information. Data ware houses, give the facility for comparative analysis and outlier analysis all are play important roles in financial data analysis and mining.

Eg, 3. Loan payment prediction and customer credit analysis are critical to the business of the bank. There are many factors can strongly influence loan payment performance and customer credit rating. Data mining may help identify important factors and eliminate irrelevant one.

Factors related to the risk of loan payments like term of the loan, debt ratio, payment to income ratio, credit history and many more. The banks than decide whose profile shows relatively low risks according to the critical factor analysis.

We can perform the task faster and create a more sophisticated presentation with financial analysis software. These products condense complex data analyses into easy-to-understand graphic presentations. And there's a bonus: Such software can vault our practice to a more advanced business consulting level and help we attract new clients.

To help us find a program that best fits our needs-and our budget-we examined some of the leading packages that represent, by vendors' estimates, more than 90% of the market. Although all the packages are marketed as financial analysis software, they don't all perform every function needed for full-spectrum analyses. It should allow us to provide a unique service to clients.

The Products:

ACCPAC CFO (Comprehensive Financial Optimizer) is designed for small and medium-size enterprises and can help make business-planning decisions by modeling the impact of various options. This is accomplished by demonstrating the what-if outcomes of small changes. A roll forward feature prepares budgets or forecast reports in minutes. Various Data Mining Techniques

Also called Knowledge Discover in Databases (KDD), data mining is the process of automatically sifting through large volumes of data for patterns, using tools such as clustering, classification, association rule mining, and many more. There are several major data mining techniques developed and known today, and this article will briefly tackle them, along with tools for increased efficiency, including phone look up services.

Classification is a classic data mining technique. Based on machine learning, it is used to classify each item on a data set into one of predefined set of groups or classes. This method uses mathematical techniques, like linear programming, decision trees, neural network, and statistics. For instance, you can apply this technique in an application that predicts which current employees will most probably leave in the future, based on the past records of those who have resigned or left the company.

Association is one of the most used techniques, and it is where a pattern is discovered basing on a relationship of a specific item on other items within the same transaction. Market basket analysis, for example, uses association to figure out what products or services are purchased together by clients. Businesses use the data produced to devise their marketing campaign.

Sequential patterns, too, aim to discover similar patterns in data transaction over a given business phase or period. These findings are used for business analysis to see relationships among data.

Clustering makes useful cluster of objects that maintain similar characteristics using an automatic method. While classification assigns objects into predefined classes, clustering defines the classes and puts objects in them. Predication, on the other hand, is a technique that digs into the relationship between independent variables and between dependent and independent variables. It can be used to predict profits in the future - a fitted regression curve used for profit prediction can be drawn from historical sale and profit data.

Of course, it is highly important to have high-quality data in all these data mining techniques. A multi-database web service, for instance, can be incorporated to provide the most accurate telephone number lookup. It delivers real-time access to a range of public, private, and proprietary telephone data. This type of phone look up service is fast-becoming a defacto standard for cleaning data and it communicates directly with telco data sources as well.

Phone number look up web services - just like lead, name, and address validation services - help make sure that information is always fresh, up-to-date, and in the best shape for data mining techniques to be applied.

Data Mining, Not Just a Method But a Technique

Web data mining is segregating probable clients out of huge information available on the Internet by performing various searches. It could be well organized and structured, or raw, depending on the use of the data. Web data mining could be done using a simple database program or investing money in a costly program.

Start collecting basic contact information of probable clients, such as: names, addresses, landline and cell phone numbers, email addresses and education or occupation if required.

CART and CHAID data mining

While collecting data you will find that tree-shaped structures that represent decisions. These derived decisions give rules for the classification of data collected. Precise decision tree methods include Classification and Regression Trees also know as CART data mining and Chi Square Automatic Interaction Detection also known as CHAID data mining. CART and CHAID data mining are decision tree techniques used for classification of data collected. They provide a set of rules that could be applied to unclassified data collected in prediction. CART segments a dataset creating two-way splits whereas CHAID segments using chi square tests creating multi-way splits. CART requires less data preparation compared to CHAID.

Understanding customer's actions

Keep a track of customer's actions like: what does he buy, when does he buy, why does he buy, what is the use of his buying, etc. Knowing such simple things about your customer will help you to understand needs of your customer better and thus process of data mining services will be easier and quality data would be mined. This will increase your personal relations with your customer which would finally result in a better professional relationship.

Following demography

Mine the data as per demography, dependent on geography as well as socio economic background of business location. You can use government statistics as the source of your data collection. Keeping it in mind you can go ahead with the understanding of the community existing and thus the data required.

Use your informal conversation in serving your clients better

Use minute details of your conversation and understanding with your customers to serve them. If essential, conduct surveys, send a professional gift or use some other object that helps you understand better in fulfilling customer needs. This will increase the bonding between you and your customer and you will be able to serve your customer better in providing data mining services.

Insert the collect information in a desktop database. More the information is collected you will find that you can prepare specific templates in feeding information. Using a desktop database, it is easier to make changes later on as and when required.

Maintaining privacy

While performing, it is essential to ensure that you or your team members are not violating privacy laws in gathering or providing the data information. Once trust is lost, you may also loose the customer, because trust is the base of any relationship, let it be a business relation.

Advantages of Data Mining in Various Businesses

Data mining techniques have advantages for several types of businesses, as well as there are more to be discovered over time. Since the era of the computer, things have been changing pretty quickly and every new step in the technology is equivalent to a revolution. Communication itself has not been enough. As compared to the present times, the data analyzers in the past have not achieved the chance to go further with the data they have in hand. Today, this data isn't used for selling more of a product but to foresee future risks as well as prevent them.

All are benefiting from modern these techniques even from smaller to large enterprises. They can now predict the outcome of a particular marketing campaign by analyzing them. However, in order for these techniques to be successful, the data must be arranged accurately. If your data is disseminated, you need to bring it in a meeting and then feed into the systems for the algorithms to figure it out. To put it shortly, no matter how small or big your business might be you always need to have the right system when collecting data from your customers, transactions and all business activities.

Advantages of Data Mining For Businesses

Businesses can truly benefit from its latest techniques; however, in the future, data mining techniques are expected to be even more concise and effective than they are today. Here are the essential techniques that you need to understand:

· Big companies providing the free web based email services can use data mining techniques to catch spam emails from their customer's inboxes. Their software uses a technique to assess whether an email is a spam or not. These techniques are first tested and validated before they are finally used. This is to ensure they are producing the correct results.

· Large retail stores and even shopping malls could make use of these techniques by registering and recording the transactions made by their customers. When customers are buying particular sets of product, it can give them a good understanding of placing these items in the aisle. If they want to change the order and placement of the item on weekends, it could be found out after analyzing the data on their database.

· Companies manufacturing edible or drinkable products could easily use data mining techniques to increase their sales in a particular area and launch new products based on the information they've obtained. That's why the conventional statistical analysis is rigid in scenarios wherein consumer behavior is in question. However, these techniques still manages to give you good analysis for any situations.

· In call centers, the human interaction is at its peak because people are talking with another people at all times. Customers respond differently when they talk to a female representative as opposed to talking to a male representative. The response of customers to an infomercial is different from their response to an ad in the newspaper. Data could be used for the benefit of the business and is best understood with the use of data mining techniques.

· Data mining techniques are also being used in sports today for analyzing the performances of players in the field. Any game could be analyzed with the help of these techniques; even the behaviors of players could be changed on the field through this.

In short, data mining techniques are giving the organizations, enterprises and smaller businesses the power of focusing on their most productive areas. These techniques also allow stores and companies to innovate their current selling techniques by unveiling the hidden trends of their customer's behavior, background, price of the products, placement, closeness to the related products and many more.

Why Web Scraping Software Won't Help

How to get continuous stream of data from these websites without getting stopped? Scraping logic depends upon the HTML sent out by the web server on page requests, if anything changes in the output, its most likely going to break your scraper setup.

If you are running a website which depends upon getting continuous updated data from some websites, it can be dangerous to reply on just a software.

Some of the challenges you should think:

1. Web masters keep changing their websites to be more user friendly and look better, in turn it breaks the delicate scraper data extraction logic.

2. IP address block: If you continuously keep scraping from a website from your office, your IP is going to get blocked by the "security guards" one day.

3. Websites are increasingly using better ways to send data, Ajax, client side web service calls etc. Making it increasingly harder to scrap data off from these websites. Unless you are an expert in programing, you will not be able to get the data out.

4. Think of a situation, where your newly setup website has started flourishing and suddenly the dream data feed that you used to get stops. In today's society of abundant resources, your users will switch to a service which is still serving them fresh data.

Getting over these challenges

Let experts help you, people who have been in this business for a long time and have been serving clients day in and out. They run their own servers which are there just to do one job, extract data. IP blocking is no issue for them as they can switch servers in minutes and get the scraping exercise back on track. Try this service and you will see what I mean here.

Data Mining As a Process

The data mining process is also known as knowledge discovery. It can be defined as the process of analyzing data from different perspectives and then summarizing the data into useful information in order to improve the revenue and cut the costs. The process enables categorization of data and the summary of the relationships is identified. When viewed in technical terms, the process can be defined as finding correlations or patterns in large relational databases. In this article, we look at how data mining works its innovations, the needed technological infrastructures and the tools such as phone validation.

Data mining is a relatively new term used in the data collection field. The process is very old but has evolved over the time. Companies have been able to use computers to shift over the large amounts of data for many years. The process has been used widely by the marketing firms in conducting market research. Through analysis, it is possible to define the regularity of customers shopping. How the items are bought. It is also possible to collect information needed for the establishment of revenue increase platform. Nowadays, what aides the process is the affordable and easy disk storage, computer processing power and applications developed.

Data extraction is commonly used by the companies that are after maintaining a stronger customer focus no matter where they are engaged. Most companies are engaged in retail, marketing, finance or communication. Through this process, it is possible to determine the different relationships between the varying factors. The varying factors include staffing, product positioning, pricing, social demographics, and market competition.

A data-mining program can be used. It is important note that the data mining applications vary in types. Some of the types include machine learning, statistical, and neural networks. The program is interested in any of the following four types of relationships: clusters (in this case the data is grouped in relation to the consumer preferences or logical relationships), classes (in this the data is stored and finds its use in the location of data in the per-determined groups), sequential patterns (in this case the data is used to estimate the behavioral patterns and patterns), and associations (data is used to identify associations).

In knowledge discovery, there are different levels of data analysis and they include genetic algorithms, artificial neural networks, nearest neighbor method, data visualization, decision trees, and rule induction. The level of analysis used depends on the data that is visualized and the output needed.

Nowadays, data extraction programs are readily available in different sizes from PC platforms, mainframe, and client/server. In the enterprise-wide uses, size ranges from the 10 GB to more than 11 TB. It is important to note that two crucial technological drivers are needed and are query complexity and, database size. When more data is needed to be processed and maintained, then a more powerful system is needed that can handle complex and greater queries.

With the emergence of professional data mining companies, the costs associated with process such as web data extraction, web scraping, web crawling and web data mining have greatly being made affordable.

Three Common Methods For Web Data Extraction

Probably the most common technique used traditionally to extract data from web pages this is to cook up some regular expressions that match the pieces you want (e.g., URL's and link titles). Our screen-scraper software actually started out as an application written in Perl for this very reason. In addition to regular expressions, you might also use some code written in something like Java or Active Server Pages to parse out larger chunks of text. Using raw regular expressions to pull out the data can be a little intimidating to the uninitiated, and can get a bit messy when a script contains a lot of them. At the same time, if you're already familiar with regular expressions, and your scraping project is relatively small, they can be a great solution.

Other techniques for getting the data out can get very sophisticated as algorithms that make use of artificial intelligence and such are applied to the page. Some programs will actually analyze the semantic content of an HTML page, then intelligently pull out the pieces that are of interest. Still other approaches deal with developing "ontologies", or hierarchical vocabularies intended to represent the content domain.

There are a number of companies (including our own) that offer commercial applications specifically intended to do screen-scraping. The applications vary quite a bit, but for medium to large-sized projects they're often a good solution. Each one will have its own learning curve, so you should plan on taking time to learn the ins and outs of a new application. Especially if you plan on doing a fair amount of screen-scraping it's probably a good idea to at least shop around for a screen-scraping application, as it will likely save you time and money in the long run.

So what's the best approach to data extraction? It really depends on what your needs are, and what resources you have at your disposal. Here are some of the pros and cons of the various approaches, as well as suggestions on when you might use each one:

Raw regular expressions and code

Advantages:

- If you're already familiar with regular expressions and at least one programming language, this can be a quick solution.

- Regular expressions allow for a fair amount of "fuzziness" in the matching such that minor changes to the content won't break them.

- You likely don't need to learn any new languages or tools (again, assuming you're already familiar with regular expressions and a programming language).

- Regular expressions are supported in almost all modern programming languages. Heck, even VBScript has a regular expression engine. It's also nice because the various regular expression implementations don't vary too significantly in their syntax.

Disadvantages:

- They can be complex for those that don't have a lot of experience with them. Learning regular expressions isn't like going from Perl to Java. It's more like going from Perl to XSLT, where you have to wrap your mind around a completely different way of viewing the problem.

- They're often confusing to analyze. Take a look through some of the regular expressions people have created to match something as simple as an email address and you'll see what I mean.

- If the content you're trying to match changes (e.g., they change the web page by adding a new "font" tag) you'll likely need to update your regular expressions to account for the change.

- The data discovery portion of the process (traversing various web pages to get to the page containing the data you want) will still need to be handled, and can get fairly complex if you need to deal with cookies and such.

When to use this approach: You'll most likely use straight regular expressions in screen-scraping when you have a small job you want to get done quickly. Especially if you already know regular expressions, there's no sense in getting into other tools if all you need to do is pull some news headlines off of a site.

Ontologies and artificial intelligence

Advantages:

- You create it once and it can more or less extract the data from any page within the content domain you're targeting.

- The data model is generally built in. For example, if you're extracting data about cars from web sites the extraction engine already knows what the make, model, and price are, so it can easily map them to existing data structures (e.g., insert the data into the correct locations in your database).

- There is relatively little long-term maintenance required. As web sites change you likely will need to do very little to your extraction engine in order to account for the changes.

Disadvantages:

- It's relatively complex to create and work with such an engine. The level of expertise required to even understand an extraction engine that uses artificial intelligence and ontologies is much higher than what is required to deal with regular expressions.

- These types of engines are expensive to build. There are commercial offerings that will give you the basis for doing this type of data extraction, but you still need to configure them to work with the specific content domain you're targeting.

- You still have to deal with the data discovery portion of the process, which may not fit as well with this approach (meaning you may have to create an entirely separate engine to handle data discovery). Data discovery is the process of crawling web sites such that you arrive at the pages where you want to extract data.

When to use this approach: Typically you'll only get into ontologies and artificial intelligence when you're planning on extracting information from a very large number of sources. It also makes sense to do this when the data you're trying to extract is in a very unstructured format (e.g., newspaper classified ads). In cases where the data is very structured (meaning there are clear labels identifying the various data fields), it may make more sense to go with regular expressions or a screen-scraping application.

Screen-scraping software

Advantages:

- Abstracts most of the complicated stuff away. You can do some pretty sophisticated things in most screen-scraping applications without knowing anything about regular expressions, HTTP, or cookies.

- Dramatically reduces the amount of time required to set up a site to be scraped. Once you learn a particular screen-scraping application the amount of time it requires to scrape sites vs. other methods is significantly lowered.

- Support from a commercial company. If you run into trouble while using a commercial screen-scraping application, chances are there are support forums and help lines where you can get assistance.

Disadvantages:

- The learning curve. Each screen-scraping application has its own way of going about things. This may imply learning a new scripting language in addition to familiarizing yourself with how the core application works.

- A potential cost. Most ready-to-go screen-scraping applications are commercial, so you'll likely be paying in dollars as well as time for this solution.

- A proprietary approach. Any time you use a proprietary application to solve a computing problem (and proprietary is obviously a matter of degree) you're locking yourself into using that approach. This may or may not be a big deal, but you should at least consider how well the application you're using will integrate with other software applications you currently have. For example, once the screen-scraping application has extracted the data how easy is it for you to get to that data from your own code?

When to use this approach: Screen-scraping applications vary widely in their ease-of-use, price, and suitability to tackle a broad range of scenarios. Chances are, though, that if you don't mind paying a bit, you can save yourself a significant amount of time by using one. If you're doing a quick scrape of a single page you can use just about any language with regular expressions. If you want to extract data from hundreds of web sites that are all formatted differently you're probably better off investing in a complex system that uses ontologies and/or artificial intelligence. For just about everything else, though, you may want to consider investing in an application specifically designed for screen-scraping.

As an aside, I thought I should also mention a recent project we've been involved with that has actually required a hybrid approach of two of the aforementioned methods. We're currently working on a project that deals with extracting newspaper classified ads. The data in classifieds is about as unstructured as you can get. For example, in a real estate ad the term "number of bedrooms" can be written about 25 different ways. The data extraction portion of the process is one that lends itself well to an ontologies-based approach, which is what we've done. However, we still had to handle the data discovery portion. We decided to use screen-scraper for that, and it's handling it just great. The basic process is that screen-scraper traverses the various pages of the site, pulling out raw chunks of data that constitute the classified ads. These ads then get passed to code we've written that uses ontologies in order to extract out the individual pieces we're after. Once the data has been extracted we then insert it into a database.
